About the Role
We are looking for an experienced, hands-on Project Coordinator to take the lead on delivering digital signage and retail media projects from initial brief through to successful completion.
In this role, you will oversee multiple concurrent projects, managing timelines, budgets, resources, and stakeholder expectations. You will focus on practical, on-site oversight — ensuring installations are delivered to the highest technical and aesthetic standards and working with colleagues in Project Management..
The right candidate will be confident managing end-to-end delivery, comfortable making decisions in fast-moving situations, and able to work equally effectively in the office and in the field.
Key Responsibilities
• Coordinate project schedules, deliverables, and resources across multiple digital signage and retail media initiatives.
• Act as a central point of contact between clients, internal teams (project management, creative, technical, marketing), and external vendors.
• Prepare and maintain project documentation, including status reports, schedules, and meeting notes.
• Attend client sites to oversee and assist with the physical installation, configuration, and testing of digital signage hardware and software.
• Track progress, flag risks, and help resolve issues to keep projects on track.
• Assist with resource allocation, budgeting, and procurement.
• Facilitate smooth communication between technical, creative, and operational teams.
• Conduct on-site quality checks to ensure installations meet Scala’s technical and aesthetic standards.
• Provide hands-on support during system rollouts, troubleshooting, and go-live phases.
• Coordinate with field engineers, AV installers, and other on-site personnel to resolve issues in real time.
Qualifications
• Proven hands on experience in installation of AV projects.
• Proven experience in a project coordination or similar role.
• Excellent organizational and time management skills.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite and project management tools (e.g., Jira, Asana, Trello).
• Ability to work effectively in a fast-paced, deadline-driven environment.
• Willingness and ability to travel to client sites within the UK and occasionally abroad.
• Experience in digital signage or related technology sectors.
• Knowledge of basic installation and troubleshooting procedures for AV or IT hardware.
Work Environment
This role offers a balance of office-based coordination and on-site project work. You will split your time between:
• Working remotely or in the London office, managing schedules, documentation, and communications.
• Travelling to client sites across the UK (and occasionally abroad) to provide hands-on oversight, assist with installations, and ensure successful project delivery.
The role may involve occasional early starts, late finishes, or overnight stays to support critical installation or launch phases.
